News: EventPro Planner at MPI World Education Congress

Meeting Professionals International (MPI) is hosting its World Education Congress 2010 in Vancouver, Canada from July 24th to 29th. Look for EventPro Planner at the WEC Trade Show.

Feature in Focus: Manage Resources and Avoid Conflicts with New Module

Keeping event resources organized can be a challenge. Now you can organize resources, avoid conflicts and speed up data entry with the new Resource Management Module.

The Resource Management Module allows you to create a Master Inventory of commonly used resources. When it comes time to add resources to an event, you simply need to select from the list of already recorded items. Better yet, use the Multi-Add function to quickly and easily add a batch of resource items without re-keying information.
The resource inventory will patrol in-stock quantities of items and warn you if you try to assign more items than you have available. EventPro Planner will check for Resource Conflicts within an event and across multiple events by either the time scheduled for the item's use or the entire event duration, depending on how you use the resource.
The Resource Usage tab in the Organization Calendar will display all of the resources used in an event for quick and easy review. You can edit all event resources and check for conflicts in one convenient location.

Helpful Hints: How to Change Taxes

If the tax system in your jurisdiction is changing (for example, Ontario and British Columbia adopting the HST), you need to change your EventPro Planner Taxes. You will be tempted to simply go in and edit your existing taxes, but there is a specific process you must follow to ensure that taxes calculate properly.

First, you should create a new "Effective Date" for taxes. An Effective Date is a date upon which a set of pre-defined taxes comes into effect. In the new Tax Effective Date, define the new tax and rate (i.e. HST replacing the GST and PST). These are the default taxes that will be applied to each newly booked event from the Effective Date on.
However, remember that you can also create a custom set of taxes for each event. If you need to adjust taxes for an event that has already been booked, but will occur after the new Tax Effective Date (i.e. when the new taxes will apply), find the event in the Event Maintenance screen. You will need to adjust both the event taxes and the default item taxes. To adjust Event Taxes, click the Options button in the upper right corner and select Set Taxes. To adjust the Default Item Taxes, click the Edit button in the upper right corner of the screen; adjust the taxes under the Default Taxes tab. When you are done adjusting taxes, recalculate the event.
As with any major procedure, it's a good idea to take a backup of your data before implementing a new effective date, just in case you do not like the result.

Software Update: Version 2.3.0.513

The latest software update, Version 2.3.0.513, is now available.

To download the newest Software Update, log in to the EventPro Planner Support Website. Click on the Downloads tab and click on the EventPro Planner Install 2.3.0.513 link. With each new version, EventPro Planner becomes more stable and powerful. To see the changes and repairs made to all versions of EventPro Planner, check What's New on our website or in the Help area of EventPro Planner Software.

Support Notification: Microsoft Office 2010 64-bit Compatibility

Like many applications that interface directly with Microsoft Office, the email function of EventPro Planner Software, a 32-bit program, is not currently compatible with the 64-bit version of Microsoft Office 2010. You may or may not be affected by this issue.

EventPro Planner Software's email function will still be compatible with the 32-bit version of Microsoft Office 2010, which can be installed on a 32-bit or 64-bit Windows operating system. Please note that EventPro Planner Software is compatible with 64-bit Windows operating systems; the email compatibility issue only arises with the 64-bit Microsoft Office 2010 software.
If your company plans to upgrade to Microsoft Office 2010, please consult your IT Department to determine whether you will upgrade to the 32-bit or 64-bit version. If you know that you will be upgrading to the 64-bit Microsoft Office 2010, please contact the EventPro Planner Support Department for further information.
